Finance and Business Administrator

Permanent, Part Time – 20-25 hrs per week

Salary circa £18,000 p/a pro rata (approx £12k pro rata)

Job Description:

As a growing speciality coffee business, we are looking to employ a Finance & Business Administrator to work in our coffee roastery. The Finance & Business Administrator will take responsibility for the provision of accounting and administrative support, tailored management information; and in the maintenance of good financial management and control, using our accounting software, Sage.


Main Duties

  • Sales order processing: reviewing invoices before posting to the ledger
  • Purchase order processing. Reviewing and posting purchase invoices
  • Reconciling bank account to Sage system. Posting payments and receipts to relevant accounts and ledgers
  • Banking: posting cash payments, cheques and credit card payments
  • Credit Control
    • Reviewing new customer account applications
    • Producing customer statements and chasing bad debt
  • Setting up new supplier accounts, and producing payment schedule list
  • Reconciling the SagePay system
  • HMRC administration
    • Manage and reconcile VAT returns
    • Payroll – monthly wage notification
    • PAYE journal posting to Sage

Other Duties

  • Human Recourse administration
    • Expenses check and Sage posting
    • Recording Annual leave
    • General HR administration and documentation
  • Engaging with customers on the telephone, by email, and in person
  • Develop systems to maintain and improve efficiency and quality
  • Being part of a team to promote Dark Woods Coffee, to continually develop and maintain/improve quality
  • General admin assistance around the roastery

Essential Skills and Knowledge

  • Excellent written, maths and verbal skills
  • Experience of Sage accounting system, or similar
  • Great organisational skills and attention to detail
  • Customer focused. Helpful and polite at all times
  • Willingness to get stuck in and quick to learn
  • Ability to work efficiently, diligently and cheerfully as part of a team and independently
  • Be flexible with regards to the work required for business need
  • Proof of right to work in UK
